Stanford University is looking for a Student Services Officer 1 to help with decisions and recommendations on admission, financial aid, housing, registrar services, visa services, student life, advising, career counseling, and academic services. The person in this role will provide guidance to students to help them make informed choices.
The successful candidate will support postdoctoral fellows, graduate, and undergraduate students in the Departments of Neurology and Neurosurgery, managing about 150 postdoctoral fellows. Responsibilities include processing appointments, composing offer and termination letters, and reviewing paperwork for compliance before submitting it to the Office of Postdoctoral Affairs.
Key Responsibilities:
- Manage visa applications for all types (J1, H1B, TN) for postdoctoral fellows, staff, and faculty.
- Analyze individuals’ education, employment, and residency to determine the appropriate visa type and submit paperwork.
- Coordinate work schedules to meet strict deadlines.
- Review documents for completeness, track files, and distribute them for review.
- Research and resolve routine issues, referring complex ones to other staff.
- Input data, update electronic databases, websites, and literature.
- Respond to routine inquiries from students, faculty, external constituents, and staff.
- Serve as a resource for students and other departments.
- Contribute to office administration and process improvements.
- Perform other duties as assigned.
Desired Qualifications:
- Previous experience working with students in an academic setting.
- Basic knowledge of fellowship appointments and visa processing.
Education & Experience (Required):
- Bachelor’s degree and two years of relevant experience, or a combination of education and relevant experience.
Knowledge, Skills, and Abilities (Required):
- Strong written and verbal communication skills.
- Basic computer skills, including Microsoft Office Suite.
- Basic analysis and problem-solving skills.
- Customer service skills.
- Experience with relevant computer systems/technology.
- Understanding of financial transactions.
- Ability to learn and comply with legal, financial, and university policies and external regulations.
Physical Requirements:
- Frequently sit and perform desk-based computer tasks.
- Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, and lift, carry, push, and pull objects up to 10 pounds.

Working Conditions:
- Hybrid work agreement, requiring on-site presence at least 2 days per week.

Salary:
- Expected pay range: $66,560 to $85,000 per year.
- Pay is determined based on the scope and responsibilities of the position, qualifications, departmental budget, internal equity, geographic location, and external market pay for comparable jobs.
