The Opportunity

As a PMI Evolve Zambia Office Assistant, you will help with administrative tasks to support our project activities, following USAID and Abt Associates guidelines. You will report to the Finance and Administration Manager and assist with various administrative and logistical tasks in the Nchelenge office.

Project Description

The PMI Evolve Project supports the U.S. President’s Malaria Initiative (PMI) and USAID to reduce malaria and promote fairness. Abt has been involved in malaria control since 2011, providing services like indoor spraying and insecticide-treated nets. We also run extensive malaria surveillance programs in 21 African countries to improve malaria control efforts. The goal of the PMI Evolve Project is to fight malaria while building local skills and capacities.

Core Responsibilities

  • Perform general office tasks like photocopying, scanning, faxing, filing, and mailing.
  • Maintain project archives, including contracts, personnel files, and reports.
  • Help plan logistics for project meetings and trainings, including location and materials.
  • Assist the Procurement Manager with purchasing tasks, like gathering quotes and requesting invoices.
  • Open and close the office each day.
  • Provide drinks (tea, coffee, water) for guests and staff.
  • Manage communication between project offices, clients, and partners.
  • Purchase and distribute office supplies.
  • Ensure timely payment of office bills.
  • Arrange travel for project staff and visitors.
  • Track petty cash transactions and receipts.
  • Help the Finance Manager update the project inventory list.

What We Value

Minimum Qualifications:

  • High School diploma plus 2 years of relevant experience or an Associate’s degree.

Preferred Qualifications:

  • Previous office support experience is a plus.
  • Good time management skills.
  • Knowledge of Windows, Word, Excel, PowerPoint, and other software.
  • Ability to communicate in English.
