We’re currently seeking a motivated Administrative Assistant/Office Manager to support our executives and oversee the New York office operations. This hybrid role requires flexibility and the ability to manage various tasks in a fast-paced environment.
About the Role:
Office Maintenance, Appearance, and Engagement:
- Keep the office clean, organized, and inviting.
- Coordinate with facility management vendors for repairs and maintenance.
- Manage office supplies to ensure everything is stocked and the office is welcoming.
- Promote a positive office culture and model excellent hospitality practices.
Administrative Support:
- Manage complex calendars and schedules for executives.
- Prepare reports, presentations, and essential documents.
- Handle meeting scheduling with the OLAPLEX Board of Directors, including Board material distribution via BoardVantage.
- Arrange executive travel and oversee special projects.
- Track and ensure completion of key deliverables and follow-up on outstanding items.
- Coordinate global schedules and meeting logistics, including video conferences and staff meetings.
- Represent the company professionally in all communications with management, peers, and vendors.
- Archive departmental data accurately and provide comprehensive administrative support to executives.
- Handle sensitive matters with discretion and confidentiality.
About You:
- Minimum of 5 years of experience supporting multiple executives; a Bachelor’s degree is preferred.
- Proven ability to manage multiple tasks and deadlines effectively.
- Strong attention to detail and excellent communication skills.
- Demonstrated confidentiality and discretion.
- Experience with calendar and email management for executives.
- Ability to think creatively and work with urgency.
- Proficiency in G-Suite, Excel, PowerPoint, Asana, and Word.

Total Rewards:
- Base Salary: $70,000 – $85,000, with eligibility for an annual bonus. Base pay varies based on qualifications, experience, and location.
